What you'll do:
As an Office Coordinator, you will immerse yourself in a varied role that places you at the heart of office operations. You will be trusted to manage access control systems efficiently while also serving as a key point of contact for building management. By overseeing procurement processes for essential supplies and taking detailed meeting minutes, you will help keep everyone informed and equipped. - Coordinate access control procedures to ensure secure entry and exit for all staff and visitors within the office premises.
- Serve as the primary liaison with building facilities management to address maintenance issues, improvements, and general upkeep of the workspace.
- Plan and execute a variety of events including booking accommodation, restaurants, venues, and collaborating with internal committees for social initiatives.
- Oversee procurement processes for IT equipment, stationery, branded merchandise, and other essential office supplies to maintain seamless operations.
- Take accurate minutes during site-related meetings and distribute them promptly to relevant stakeholders for effective follow-up.
- Work closely with social, diversity & inclusion, and charity committees to roll out engaging events that foster team spirit and inclusivity.
- Collaborate with global site teams to implement best practices in health and safety as well as business continuity planning across the Penang location.
- Manage onboarding requirements for new joiners by coordinating with technology, facilities, and HR teams to ensure a smooth transition into the company.
- Independently handle day-to-day site facility needs while maintaining open communication with local leadership and support teams.
- Support business continuity initiatives by ensuring all protocols are up-to-date and effectively communicated throughout the office.
