What you'll do:

As a Finance and Human Resources Administrator based in Bayan Lepas, you will immerse yourself in a diverse range of responsibilities that span finance management, HR administration, and operational support. Your day-to-day activities will involve preparing detailed financial reports, overseeing payroll processes for Malaysian employees—including statutory submissions—and facilitating seamless onboarding experiences for new hires. You will also manage office expenses efficiently while coordinating travel arrangements for colleagues. Ensuring that office facilities remain in top condition is crucial; you’ll handle property agreements as well as maintenance tasks. Administrative duties extend to shipping logistics for both internal operations and customer needs. Success in this role requires proactive engagement with team members across departments to drive continuous improvement initiatives. Your ability to foster collaboration within the team will help shape strategic plans that align with the organisation’s long-term goals.

  • Handle the full set of accounts including preparation of monthly financial and sales reports while maintaining accurate filing and documentation in both hard copy and digital formats.
  • Support HR administration by managing payroll processes, attendance records, leave analysis, and compliance with government statutory requirements such as EPF, SOCSO, EIS, PCB, and e-invoicing.
  • Assist with employee onboarding activities including setting up work desks, conducting office tours, issuing keys, and supporting staff welfare initiatives.
  • Monitor office expenses related to stationery and equipment purchases to ensure cost effectiveness while supporting colleagues with corporate travel arrangements such as hotel and flight bookings.
  • Manage office and warehouse rental agreements along with property-related bills to maintain efficient facility operations.
  • Oversee administrative functions including shipping matters for both company and customers while ensuring timely renewal of licenses and insurance in compliance with government regulations.
  • Maintain office facilities such as printers and air conditioners to prevent breakdowns and ensure optimal working conditions for all staff members.
  • Provide guidance on staff claims and reimbursements by checking compliance with company handbook policies and promoting employee welfare.
  • Liaise effectively across departments to support continuous improvement initiatives in procedures and policies relevant to finance, HR, and administration.
  • Contribute actively to team discussions regarding resource management, problem-solving strategies, and collaborative planning for long-term business objectives.

  • Proficiency in Microsoft Office suite (Excel & Outlook) is essential for effective document management and communication.
  • Strong attention to detail is required for maintaining accuracy in financial reporting and information administration.
  • Excellent written and verbal communication skills in English, Chinese, and Bahasa Malaysia are necessary for liaising across diverse teams.
