Project Manager (Healthcare)
A leading healthcare organisation in Petaling Jaya is seeking an Executive Assistant & Project Manager to support the CEO. This role combines executive support with project management, giving you the opportunity to work closely with senior leadership, coordinate cross-functional initiatives, drive digitalisation projects, and ensure seamless communication across departments from project inception through to successful handover.
What you'll do:
As an Executive Assistant and Project Manager to the Chief Executive Officer based in Petaling Jaya, you will play a pivotal role in supporting executive priorities. Your daily responsibilities will include managing complex scheduling needs for the CEO, acting as a central point of communication between departments, compiling materials for board meetings, tracking action items through to completion, supervising new projects during their initial phases, coordinating digitalisation efforts across teams, and handling confidential correspondence. Success in this role requires you to anticipate challenges before they arise—such as scheduling conflicts or project delays—and proactively resolve them. You will be relied upon for your ability to coordinate multiple stakeholders efficiently while maintaining discretion at all times. By supporting both executive tasks and project management functions within a dynamic healthcare environment, you will help drive organisational progress while fostering a culture of collaboration.
- Manage the CEO’s calendar, appointments, and scheduling by prioritising competing requests and ensuring smooth coordination with internal departments and external parties.
- Act as a communication link between the CEO and all internal departments, relaying instructions, updates, and follow-ups accurately and on time.
- Coordinate with various departments to compile materials for board meetings and other leadership or committee meetings, preparing agendas and supporting documents ahead of schedule.
- Attend meetings alongside the CEO in the office as required; record notes, minutes, and follow-up actions to ensure accountability.
- Track outstanding action items arising from discussions led by the CEO, following up until closure and maintaining clear records.
- Monitor progress of new projects during their early-stage incubation phase under the CEO’s direction, identifying blockers and consolidating status updates across departments.
- Prepare progress summaries for review by the CEO, covering project status, risks, and recommended next steps for effective decision-making.
- Support identification of appropriate receiving departments when projects are ready to transition out of incubation, coordinating structured handovers.
- Assist with digitalisation priorities by coordinating relevant tooling, process improvements, and adoption efforts across departments.
- Draft, review, and manage correspondence, reports, and documentation on behalf of the CEO while maintaining confidentiality of sensitive information.

- Degree in business administration, management or a related discipline is required for this role.

- Working knowledge of project management fundamentals including tracking timelines, coordinating stakeholders, and status reporting gained through formal training or direct experience.
- Experience coordinating across multiple departments or business units is preferred for success in this position.
- Excellent calendar and time management skills with sound judgement in prioritising competing demands are crucial.
- Comfortable using AI tools and digital productivity systems; able to apply these technologies effectively within real workflows rather than just theoretical familiarity.
- Clear written and verbal communication skills are necessary for cross-departmental liaison as well as preparing meeting minutes and management summaries.
- Demonstrated ability to maintain confidentiality regarding sensitive business matters including HR issues or board-level information.
- Ability to operate with a moderate degree of independence while keeping executive leadership informed according to supervision guidelines set by the CEO.
- Proactive approach in flagging scheduling conflicts or project risks early rather than waiting for escalation.
