What you'll do:

As an Assistant Tenant Coordination Manager based in Johor, you will immerse yourself in the dynamic world of retail property management. Your day-to-day responsibilities will involve facilitating seamless communication between tenants, contractors, internal teams, and external authorities. You will oversee the entire fit-out process from initial planning through to final handover—ensuring that every detail aligns with company standards and regulatory requirements. By conducting regular site inspections and managing documentation meticulously, you will help maintain high levels of compliance while supporting tenants’ needs. Your ability to coordinate special projects such as pop-up stores or creative displays will further enhance the vibrancy of the shopping environment. Success in this role comes from your commitment to nurturing strong relationships with all stakeholders while maintaining a keen eye for detail throughout each phase of tenancy preparation.

  • Coordinate activities among tenants, construction companies, and authorities to ensure all fit-out projects are managed efficiently within established safety standards and timelines.
  • Engage daily with teams from construction, leasing, tenant coordination departments as well as tenants and contractors to facilitate clear communication and effective project delivery.
  • Collaborate closely with the service office commercial team during the tenant fit-out process to optimise lease areas within the centre.
  • Support the leasing department by preparing technical layouts and ensuring timely handover of retail lots to tenants according to agreed schedules.
  • Supervise final handover processes by obtaining relevant permissions from various departments, conducting inspections (POI), and managing any necessary revisions.
  • Ensure lease outline drawings are aligned with tenancy agreements and specifications outlined in T&A documentation.
  • Conduct daily inspections throughout fit-out stages to monitor compliance with house rules, fire safety standards, and tenant coordination guidelines.
  • Act as project owner for tenant change requests by coordinating between tenants and facilities/operations teams for new provisions or minor construction works post-occupancy.
  • Follow up on inspection findings related to fit-outs to ensure prompt resolution of outstanding issues.
  • Organise handover kick-off meetings with tenants including briefings on fit-out manuals, design guidelines, safety protocols, and house rules.

What you bring:

To excel as an Assistant Tenant Coordination Manager in Johor’s thriving retail sector, you will bring a blend of technical expertise gained through formal education in engineering or design disciplines along with hands-on experience managing complex fit-out projects. Your background should demonstrate not only familiarity with industry regulations but also an aptitude for fostering harmonious working relationships across diverse groups.   • A recognised qualification such as Professional Certificate, Bachelor's Degree or higher in Engineering, Interior Design, Architecture or Construction Management coupled with 4-6 years of relevant work experience is essential for this role.
  • Demonstrated organisational skills with proven ability to manage time effectively across multiple concurrent projects within tight deadlines.
  • A proactive approach combined with a positive attitude towards problem-solving; able to work both independently and collaboratively within interdependent teams.
  • Excellent communication abilities—both verbal and written—in English and Bahasa Malaysia; proficiency in additional languages would be advantageous for engaging diverse stakeholders.
  • Strong negotiation skills paired with interpersonal sensitivity that fosters cooperation among colleagues, tenants, contractors, and authorities alike.
  • Competence in producing LODs (Level of Detail), basic 3D models, and hand sketches as required for project documentation.
  • Advanced computer literacy including Microsoft Office suite applications as well as Autocad for technical drawing preparation.
  • Experience handling technical layouts for leasing purposes along with knowledge of compliance requirements related to fire safety standards and house rules within retail environments.
  • Ability to track exchanges of plans/information accurately while maintaining comprehensive records according to SOPs requirements.
  • Capacity for creative thinking when addressing vacancy mitigation strategies such as pop-up stores or innovative window displays.
