Our client is seeking a highly organised and detail-oriented Accounts & Admin Executive to provide comprehensive support in administrative, executive, and accounting functions.

This role requires excellent multitasking abilities, strong communication skills, and proficiency in handling office operations, financial transactions, and executive support duties. The successful candidate will have the opportunity to be part of a growing private equity group with presence in Malaysia and broader Asia.

What you'll do:

As an Accounts & Admin Executive, your role will be multifaceted. You will be responsible for managing all aspects of office administration from maintaining supplies to coordinating meetings. Your excellent organisational skills will be put to use as you handle travel arrangements for employees and process expense claims. In addition to these responsibilities, you will also provide support on HR matters such as recruitment activities and maintaining employee leave records. Your role will extend beyond administrative tasks as you will also assist with basic bookkeeping tasks such as invoice processing, payment tracking, and bank reconciliations.

  • Manage office supplies, equipment, stationeries, and overall office maintenance.
  • Coordinate and schedule meetings, appointments, and conference calls.
  • Handle employee travel arrangements, including booking flights, accommodations, and transportation.
  • Prepare and process expense claims and reimbursements.
  • Support on general HR matters including coordination of recruitment activities and employee leave record keeping.
  • Maintain and update office records, files, and confidential documents.
  • Liaise with service providers and follow up until issues are resolved.
  • Arrange for dispatch of documents and coordinate deliveries/couriers.
  • Assist in the coordination of company events, training sessions, and employee engagement activities.

What you bring:

The ideal candidate for the Accounts & Admin Executive position brings a wealth of experience in administrative roles.

  • Diploma/Degree in Business Administration, Accounting, Finance or related field.
  • 2-3 years of experience in administrative, executive assistant or accounts assistant roles.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and accounting software (e.g., SQL, Xero, QuickBooks, SAP).
  • Strong attention to detail, time management skills.
  • Excellent written and verbal communication in English; fluency in Mandarin/Cantonese is a plus.
  • Ability to handle confidential information with professionalism and discretion.
