What you'll do:

As a Finance and Human Resources Executive based in Bayan Lepas, Penang, you will immerse yourself in a multifaceted role that bridges financial stewardship with people-focused administration. Your day-to-day activities will involve meticulous account management—preparing monthly reports that inform strategic decisions—and overseeing HR processes from payroll to employee onboarding. You will also take charge of administrative tasks such as shipping coordination, property management, expense monitoring, and travel arrangements. Success in this role requires you to be highly organised, responsive to colleagues’ needs, adept at maintaining compliance with statutory requirements, and proactive in keeping the office running smoothly. Your ability to collaborate across teams will ensure that both financial accuracy and employee satisfaction are achieved consistently.

  • Handle the full set of accounts including preparation of monthly financial and sales reports while maintaining accurate filing and documentation in both hard and digital formats.
  • Support HR administration by managing payroll processes, attendance records, leave analysis, and compliance with government statutory requirements such as EPF, SOCSO, EIS, PCB, and e-invoicing.
  • Assist with company premises management including employee insurance matters, staff claims, reimbursements, onboarding activities like work desk setup and office tours.
  • Monitor office expenses related to stationery and equipment purchases to ensure cost effectiveness across all departments.
  • Coordinate corporate travel arrangements for colleagues including hotel and flight bookings to facilitate smooth business operations.
  • Manage office and warehouse rental agreements along with property-related bills to maintain operational efficiency.
  • Oversee administrative functions such as shipping matters for both company and customers ensuring timely license and insurance renewals in line with government regulations.
  • Ensure the office facility is maintained in optimal condition by proactively managing equipment like printers and air conditioners to prevent breakdowns.
  • Liaise with various stakeholders across departments to foster teamwork and ensure effective communication regarding HR policies and procedures.
  • Contribute to continuous improvement initiatives by revising or developing procedures and policies that enhance overall performance.

  • Proficiency in Microsoft Office applications including Excel and Outlook is essential for efficient document management.
  • Exceptional attention to detail is required for maintaining accuracy in financial records and information administration.
  • Strong time management skills are necessary for handling multiple concurrent tasks effectively under pressure.
  • Ability to handle confidential information with integrity while demonstrating high ethical standards throughout all responsibilities.
