What you'll do:

As a Procurement Executive based in Malacca, you will be entrusted with overseeing the full spectrum of procurement activities essential for smooth business operations. Your day-to-day responsibilities will involve processing purchase requisitions into actionable orders, conducting thorough sourcing exercises including RFQs, negotiating favourable terms with suppliers, and ensuring all contractual obligations are met. You will also play an instrumental part in identifying areas for cost savings through detailed analysis of spend patterns while upholding high standards of compliance. By maintaining robust contract management practices alongside contract owners, you will help safeguard the organisation’s interests. Your success in this role will depend on your ability to collaborate seamlessly with both internal teams and external partners—ensuring goods and services are delivered as agreed—and your commitment to driving continuous process improvements. Proficiency in using digital tools such as MS Office suites and ERP platforms will enable you to keep procurement records up-to-date while supporting efficient reporting.   • Process purchase requisitions efficiently and issue accurate purchase orders while ensuring all deliveries are made on time and accounts payable matters are managed effectively to support site operations.
  • Conduct comprehensive requests for quotation (RFQ), source suppliers, negotiate prices, terms and conditions, as well as contracts to meet both local and group procurement requirements.
  • Identify opportunities for cost optimisation within assigned categories by analysing spend data and implementing operational excellence initiatives aligned with organisational goals.
  • Maintain the Contract Masterlist diligently, ensuring all agreements remain valid by working closely with contract owners throughout their lifecycle.
  • Contribute actively to continuous improvement efforts aimed at enhancing efficiency, compliance, and adoption of best practices within the procurement function.
  • Collaborate closely with internal stakeholders and external vendors to ensure alignment on goods and services delivered, resolving any discrepancies promptly and establishing new agreements when necessary.
  • Support the implementation of procurement policies and procedures that promote transparency, accountability, and value for money across all purchasing activities.
  • Assist in managing supplier performance by monitoring key metrics, providing feedback, and participating in regular review meetings to foster long-term partnerships.

  • Advanced proficiency in Microsoft Office applications such as Excel for data analysis as well as experience utilising ERP systems for procurement workflow management.
  • Strong negotiation skills developed through direct involvement in supplier sourcing activities including RFQs, price discussions, contract reviews, and agreement finalisation.
  • Excellent interpersonal abilities enabling you to build trust-based relationships with vendors while fostering co-operative interactions among internal teams.
  • A keen eye for detail combined with a commitment to upholding compliance standards across all purchasing transactions ensures accuracy at every stage of the process.
