Contract Coordinator (Penang Based)
A leading organization in Penang is seeking a Contract Coordinator to join its team. What you'll do:
As a Contract Coordinator, you will immerse yourself in a vital support function that underpins the smooth operation of contractual agreements across the organisation. Key responsibility :
- Coordinate the end-to-end process of contract execution by routing documents to appropriate internal and external signatories promptly and efficiently.
- Work closely with departments such as legal, finance, procurement, and leadership to confirm all necessary approvals are obtained before any contract is signed.
- Monitor the progress of contracts throughout the signature workflow, proactively following up with stakeholders to ensure timely completion of each stage.
- Prepare documents for signature using digital tools like DocuSign or Adobe Sign as well as managing physical signatures when required.
- Verify the authority and validity contract, ensuring compliance with established signatory limits and company policy.
- Track and document every stage of the signing process meticulously for audit purposes, maintaining clear records for future reference.
- Maintain accurate filing systems for both digital and physical copies of executed contracts in line with regulatory requirements and data protection laws.
- Support contract retrieval processes and assist with audits by providing relevant documentation quickly and efficiently when requested.
- Act as the primary liaison between internal stakeholders and external parties regarding contract signing matters, facilitating clear communication at every step
- Escalate any issues or delays encountered during the contract execution process to relevant stakeholders promptly to avoid bottlenecks
What you bring:
To excel in this role, you will bring proven experience from roles where managing documentation workflows was central—ideally within legal administration or compliance settings. Key requirements :
- Bachelor’s Degree in Business Administration, Law, Commerce or a related field is essential for this position as it provides a strong foundation in relevant principles.
- At least 2–3 years’ experience working in contract administration, legal coordination, compliance or another administrative role involving documentation workflows.
- Familiarity with e-signature platforms such as DocuSign or Adobe Sign is desirable as these tools are integral to efficient document processing.
- Strong attention to detail with a solid understanding of contract lifecycle processes and fundamental legal terminology.
- Proven ability to handle confidential and sensitive information with the highest level of discretion.
- Excellent communication and interpersonal skills, with the ability to build positive relationships across all levels of an organization.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
