Executive Assistant
An exciting opportunity has arisen for a highly organised and experienced Executive Assistant to provide comprehensive support to the Chief Executive Officer in Petaling Jaya.
What you'll do:
As an Executive Assistant based in Petaling Jaya, you will be entrusted with a broad range of responsibilities that require exceptional organisational abilities and interpersonal skills.
- Manage and maintain the CEO’s calendar by scheduling meetings, appointments, coordinating travel arrangements, transportation logistics, and accommodation bookings to ensure optimal time management.
- Prepare, review, and organise documents such as presentations and reports for both internal teams and external stakeholders to facilitate clear communication and informed decision-making.
- Serve as the primary point of contact between the CEO and various parties including internal teams, business partners, and external stakeholders to foster strong relationships and efficient information flow.
- Coordinate board meetings, leadership team sessions, and company events by preparing agendas, materials, taking minutes, and ensuring all logistical aspects are meticulously arranged.
- Draft, review, and manage correspondence, reports, proposals, and other official documents on behalf of the CEO to uphold high standards of professionalism in all communications.
- Liaise with internal and external lawyers regarding legal documents while ensuring timely filing and secure safekeeping of company contracts to maintain compliance and organisation.
- Oversee daily office administrative operations including facilities management, pantry supplies, cleaners’ schedules, printer maintenance, stationery inventory, water dispensers upkeep, air-conditioning servicing, and building management coordination.
- Handle confidential documents and sensitive communications with the highest degree of discretion to protect privacy and maintain trust at all times.
- Support expense reporting by preparing claims submissions accurately while assisting with financial documentation as required by the CEO.
- Provide ad hoc administrative support or project assistance as assigned to contribute positively towards team objectives.
What you bring:

- A bachelor’s degree or equivalent work experience demonstrating your readiness for high-level administrative responsibilities is essential for this role.
- At least five years’ proven experience as an Executive Assistant or Personal Assistant supporting C-suite executives equips you with valuable insights into executive workflows.
- Experience coordinating with external lawyers or handling legal matters is considered an added advantage for candidates seeking this position.
- Proficiency in Microsoft Office applications enables you to create polished documents quickly while managing data efficiently across platforms like Word, Excel, PowerPoint.
