This role is integral to the smooth operation of the business, providing first-level support on administrative services focused on business operations and facilities.

What you'll do:

As an Office Administrator, you will be a crucial part of the Corporate Services Department. Your role will involve managing day-to-day facility operations, ensuring all aspects run smoothly and efficiently. You'll handle everything from overseeing flex seat management to administering various employee services. You'll also manage local supplier accounts and schedule necessary equipment maintenance. In addition to these responsibilities, you'll act as a liaison for landlord/building correspondence and manage local onsite physical security. This role offers a unique opportunity to contribute significantly to the operational success of a global financial institution.

  • Oversee day-to-day facilities operations including flex seat management, access control, mail services, multifunction equipment, pantries, supplies, conference rooms, storage rooms, first aid supplies.
  • Create purchase order requisitions for local office and other office locations.
  • Manage local supplier account needs.
  • Schedule equipment maintenance as required.
  • Manage local building service requests and relations.
  • Administer various employees’ services including mobiles, travel program, conferencing services.

What you bring:

The ideal candidate for this Office Administrator position brings a strong commitment to service excellence and has the ability to thrive in a fast-paced environment. Your excellent communication skills in English will be essential for this role. You should possess a strong work ethic complemented by an energetic, influential, and diplomatic work style. Proficiency in Microsoft Office applications such as Outlook, Word, and Excel is required. Experience with vendor management and service portals would be advantageous. Flexibility to work extended hours when needed is also expected.

  • Commitment to service excellence with the ability to work in a fast-paced, multi-tasking team environment.
  • Excellent oral and written communications skills in English.
  • Strong work ethic with an energetic, influential, and diplomatic work style.
  • Intermediate to advanced Microsoft Office skills (Outlook, Word, Excel).
  • Ability to work extended hours as needed including some evenings and weekends.
