What you'll do:
As a Human Resources Administration and Analytics Specialist, you will play a pivotal role in shaping the learning culture of the organisation while ensuring HR operations run smoothly.
- Maintain comprehensive and accurate records of all employee training activities by updating training logs regularly and ensuring data integrity across platforms.
- Monitor training expenses closely, track HRDC Fund usage against budget allocations, and generate detailed monthly variance reports to support financial transparency.
- Analyse the efficiency of training programmes by calculating cost per employee and utilisation rates, then recommend actionable steps for optimisation based on your findings.
- Develop the Annual Training Plan and Calendar by conducting thorough Training Needs Analysis (TNA) aligned with strategic business objectives.
- Ensure timely execution of mandatory and regulatory training sessions by monitoring schedules and highlighting potential risk areas through robust data analysis.
- Design feedback mechanisms such as pre- and post-training evaluations to assess knowledge retention and overall training effectiveness, using these insights for continuous improvement.
- Lead engaging onboarding sessions for new hires, monitor induction completion rates, and analyse feedback to enhance the orientation experience.
- Manage in-house training facilities and equipment efficiently by tracking their usage and ensuring resources are optimally allocated.
- Prepare insightful training reports with actionable recommendations for management review while maintaining up-to-date records in the SELIA L&D platform or equivalent systems.
- Support employee relations by managing placement logistics for expats, interns, graduates, and outsourced staff—including visa arrangements, tax matters, lodging coordination—and oversee contract compliance.
What you bring:
To excel as a Human Resources Administration and Analytics Specialist you will bring proven expertise in both human resources management practices and advanced data analysis techniques.
- A Bachelor’s Degree in Human Resource Management, Business Administration, Data Analytics, Statistics or a related discipline is required for this position.
- At least three years’ experience in HR operations or Learning & Development roles with significant exposure to analytics or data-driven decision-making is essential.
- Demonstrated ability to manage L&D programmes including maintaining accurate training records, overseeing onboarding processes, and executing employee engagement activities effectively.
- Hands-on experience with HRDC claims processing as well as tracking training costs and preparing compliance reports is highly desirable for success in this role.
- Advanced proficiency in Microsoft Excel—including functions such as VBA/macros—is necessary for handling complex data sets efficiently.
- Familiarity with data visualisation tools like Power BI or similar platforms is important for creating compelling HR dashboards and reports that inform decision-making.
- Experience working with HRIS/LMS systems (such as SAP SuccessFactors, Workday or SELIA L&D) would be advantageous but not mandatory.
- A solid understanding of Malaysian labour laws along with HRDC regulations ensures compliance across all HR activities undertaken in this role.
- Proven ability to develop simple yet effective dashboards or metrics tracking tools (e.g., monitoring training hours or budget utilisation) is expected from candidates applying for this position.
- Excellent interpersonal communication skills are required so you can present complex insights clearly to non-technical audiences while building positive relationships throughout the organisation.
