A leading retail chain in Malaysia is seeking an HR Manager to drive the professionalisation and growth of its HR function across a rapidly expanding network of stores. This is a strong opportunity to take ownership of end-to-end HR operations, build scalable people systems, and support a large frontline workforce alongside corporate teams.

What you’ll do

As HR Manager, you will play a key role in shaping and executing the people strategy for a multi-site retail organisation. You will partner with business leaders to deliver effective recruitment strategies for store-based and corporate roles, while ensuring workforce planning aligns with store expansion, operating hours, and sales demands.

You will oversee core HR operations, ensuring consistency, compliance, and efficiency across all locations. By strengthening HR policies, SOPs, and people processes, you will help create a structured, engaged, and performance-driven retail workforce. You will also act as a trusted advisor on employee relations matters, supporting managers with fair and practical solutions.

Key responsibilities include:

  • Manage end-to-end recruitment for retail operations roles (e.g. store managers, supervisors, retail associates) and head office positions, ensuring timely hiring and effective onboarding.

  • Develop workforce planning and manpower allocation models aligned with store openings, shift schedules, and business volume.

  • Oversee day-to-day HR operations including employment contracts, confirmations, resignations, payroll coordination, and HR administration with accuracy and confidentiality.

  • Ensure compliance with Malaysian labour laws and statutory requirements including Employment Act, EPF, SOCSO, and EIS.

  • Review, implement, and maintain HR policies, SOPs, and employee handbook to ensure consistency across all stores.

  • Administer HR systems (HRIS) and maintain accurate personnel records while safeguarding employee data.

  • Implement performance management processes that support store-level KPIs, productivity targets, and leadership accountability.

  • Support the design and administration of incentive schemes, sales commissions, and progression frameworks for retail roles.

  • Identify training needs and coordinate onboarding programmes, retail skills training, and leadership development for store managers.

  • Act as a key point of contact for employee relations matters including disciplinary cases, grievances, and conflict resolution.

What you bring

You bring solid, hands-on HR experience within fast-moving, manpower-intensive environments. You are comfortable supporting large frontline teams, managing multiple locations, and balancing operational demands with people-centric practices. Your strong understanding of retail dynamics enables you to work effectively with store managers while maintaining HR governance and compliance.

You are organised, detail-oriented, and confident managing HR operations end to end. Your communication style is practical and empathetic, allowing you to build trust with both management and frontline employees. You are also comfortable using HR systems and data to improve efficiency and decision-making.

Key requirements:

  • 6–8 years of HR experience covering recruitment, HR operations, employee relations, performance management, and learning & development.

  • Proven experience supporting multi-site retail or other manpower-intensive operations (e.g. retail, F&B, hospitality, services).

  • Strong hands-on recruitment experience for high-volume frontline roles and corporate positions.

  • Solid knowledge of Malaysian employment laws and statutory requirements including EPF, SOCSO, and EIS.

  • Strong organisational skills with experience managing contracts, payroll coordination, personnel records, and HR documentation.

  • Effective stakeholder management skills, able to work closely with senior management, operations teams, and store managers.

  • Proficiency in Excel and HRMS platforms for reporting, analysis, and process optimisation.

  • Bachelor’s degree in Human Resources, Business Administration, Psychology, or a related discipline.

  • Ability to thrive in a fast-paced retail environment with frequent change and expansion.

  • Empathetic and fair approach to employee relations, supporting engagement and retention across the retail workforce.
