What you'll do:
As a Project Coordinator based in Penang, you will be at the heart of the organisation’s project management function. Your day-to-day activities will involve tracking progress across multiple assignments, maintaining up-to-date records using Microsoft Office Suite tools, compiling data for regular reporting purposes, and communicating with colleagues from various departments. By ensuring that internal processes are consistently followed—and suggesting improvements where possible—you will help drive operational excellence. Your attention to detail will enable subject matter experts to dedicate their energy towards strategic regulatory work while you provide essential support behind the scenes. Success in this role comes from your ability to manage competing priorities with care, communicate proactively with others, and maintain an unwavering commitment to quality outcomes for both clients and your team.
- Track project progress meticulously and monitor deliverables to ensure all aspects of each assignment are completed on time and meet the highest standards of quality.
- Maintain comprehensive project documentation by updating trackers and status reports so that all stakeholders remain informed throughout every stage of the workflow.
- Compile, analyse, and interpret project data with accuracy to generate insightful reports and dashboards for project leads and senior leadership.
- Communicate clearly and effectively with cross-functional team members to foster alignment around project goals, expectations, and timelines.
- Support internal processes by ensuring established tools are followed diligently while also identifying opportunities for process improvement.
- Assist subject matter experts by managing administrative tasks so they can focus on high-value regulatory strategy and client delivery.
- Coordinate meetings, prepare agendas, and document action items to facilitate smooth collaboration among all participants involved in each project.
- Respond promptly to requests from leadership or team members regarding project updates or resource needs, demonstrating reliability in every interaction.
- Contribute positively to a culture of teamwork by sharing information openly and supporting colleagues whenever challenges arise.

Your proficiency with Microsoft Office Suite allows you to create clear documentation, update trackers seamlessly, and present findings through well-crafted reports or dashboards. You possess strong interpersonal skills that make it easy for you to connect with colleagues across functions; your communication style is always polite yet effective. Being highly organised helps you juggle several responsibilities at once while maintaining accuracy in everything you do. Your analytical abilities come into play when compiling data or interpreting trends for leadership review. Above all else, your willingness to collaborate ensures that everyone benefits from shared knowledge and mutual support—qualities that are especially valued within this multicultural workplace.
- Bachelor’s degree in business administration, project management or a related field provides you with foundational knowledge relevant to this role.
- Ideally 1-2 years of experience in a similar capacity equips you with practical insights into effective project coordination within professional environments.
- Proficiency in Microsoft Office Suite—especially Teams, SharePoint, Excel, Word, and PowerPoint—enables you to handle documentation and reporting efficiently.
- Excellent verbal and written communication skills in English allow you to collaborate smoothly with colleagues from diverse backgrounds.
- Highly organised approach ensures you can manage multiple tasks simultaneously without losing sight of important details or deadlines.
- Experience creating reports as well as conducting basic data analysis demonstrates your analytical mindset when interpreting information for decision-making purposes.
- Familiarity with databasing concepts supports your ability to manage digital resources effectively within the scope of each assignment.
- A collaborative attitude means you enjoy working closely with others towards shared objectives while remaining considerate of different perspectives.
