A well-established financial institution in Kuala Lumpur is seeking a Senior Manager, Administration to manage the full scope of administrative and workplace safety responsibilities. In this position, you will oversee various operational areas such as workplace safety, asset acquisition, and facilities upkeep, ensuring efficient day-to-day operations. What you'll do:

As the Senior Manager, Administration based in Kuala Lumpur, you will play a key role in ensuring the smooth functioning of all administrative operations within the organisation.

  • Oversee the full spectrum of general administrative tasks along with office safety and security management, ensuring adherence to internal guidelines and regulatory requirements.

  • Manage the procurement lifecycle for fixed assets, including registration, tracking, and ongoing maintenance to maintain operational effectiveness.

  • Supervise tenancy agreements, facility management, and maintenance work to ensure smooth operations and compliance with relevant standards.

  • Lead office safety and security initiatives by managing vendors and service providers responsible for these functions.

  • Monitor emails received through the organisation’s general inbox, ensuring prompt routing to the appropriate departments for timely follow-up.

  • Oversee file and record management activities in strict alignment with internal policies and external regulatory obligations.

  • Handle customer complaints by preparing comprehensive reports and submitting them in accordance with organisational procedures.

  • Manage corporate gifts and support public affairs activities, including branding, advertising coordination, and communications with local media partners.

  • Maintain strong external relationships with chambers of commerce, police authorities, media organisations, and other public bodies to facilitate administrative and public affairs efforts.

What you bring:

To thrive as Senior Manager, Administration, your established background in administration or facilities management—ideally within a banking or financial services environment—will be a major advantage.

  • Bachelor’s degree in any discipline is required.

  • Minimum 6–8 years of experience in administration or facilities management, with exposure to financial services highly preferred.

  • Understanding of building management systems and property/security management practices is advantageous.

  • Strong sense of accountability paired with excellent organisational and planning abilities.

  • Solid problem-solving skills to manage complex administrative matters effectively.

  • Strong interpersonal skills to communicate and collaborate with stakeholders at all levels.

  • Excellent written and spoken command of English and Mandarin to support communication needs across diverse teams.

  • Proficiency in Microsoft Office applications for efficient documentation and reporting.
