Senior Admin Executive
The Senior Admin Executive will provide comprehensive administrative support to ensure smooth office operations, a secure and high-quality working environment, and cost-effective procurement. The role also involves assisting Chinese employees relocating to Malaysia with logistical and living arrangements, supporting government relations efforts, and contributing to office expansion initiatives in Kuala Lumpur.
Key Responsibilities:

Administrative Services & Facility Management:
- Deliver efficient administrative services, including welcoming visitors, addressing employee requests, managing cleaning staff, and ensuring physical security compliance (ISO27001).
- Coordinate with landlords/property managers for seamless office operations.
- Prepare budgets for office supplies and oversee cost-effective procurement processes.

Support for Chinese Employees:
- Assist Chinese employees relocating from China to Malaysia with EP visa applications, apartment searches, hotel bookings, and other logistical needs.
- Address any living-related concerns to ensure their comfort during their stay in Malaysia.

Government Relations Support:
- Facilitate communication with government bodies by responding to requests, submitting required documentation, and researching policies to access incentives.
- Represent the company in interactions with government officials to foster positive corporate relationships.

Office Expansion Efforts:
- Support office growth strategies by researching suitable locations, identifying vendors, overseeing setup processes, and assisting service teams during relocation.
Requirements:
Educational Background:
- Bachelor’s degree in any discipline (Diploma holders may be considered if they demonstrate strong soft skills such as communication, problem-solving, service orientation, and initiative).
Knowledge & Skills:
- Intermediate proficiency in Microsoft Office tools.
- Strong verbal communication skills in English and Chinese.
Work Experience:
- 3–5 years of experience in facility management or administration; prior exposure to government affairs is preferred.
- Proven project management skills involving vendor coordination and office renovation/expansion projects.
Soft Skills:
- Excellent communication and negotiation abilities.
- Problem-solving mindset with a service-oriented approach.
Other Details:
- Preference for candidates of high proficiency in Chinese.
