A leading beauty and lifestyle company is seeking a Payroll Executive and Human Resources Operations professional to join their high-growth Southeast Asia team based in Kuala Lumpur.

What you'll do:

As a Payroll Executive and Human Resources Operations specialist based in Kuala Lumpur, you will be entrusted with managing critical aspects of HR operations that underpin the success of a dynamic retail business.

  • Administer comprehensive employee lifecycle processes including onboarding new hires, managing offboarding procedures, facilitating internal transfers, and overseeing contract management to ensure seamless transitions for all staff members.
  • Maintain up-to-date employee records within the HRIS system (SuccessFactors) as well as physical personnel files, guaranteeing full compliance with statutory requirements and organisational policies.
  • Prepare employment-related documentation such as offer letters, confirmation letters, and other HR correspondence while ensuring accuracy and confidentiality at all times.
  • Support government reporting obligations by preparing necessary submissions for statutory claims and assisting with regulatory compliance matters relevant to HR operations.
  • Serve as the first point of contact for employees and managers regarding HR operational queries, providing clear guidance and responsive support across various topics.
  • Manage the complete payroll cycle for Malaysia from input validation through to final processing, ensuring strict adherence to local statutory regulations and tax requirements.
  • Collaborate closely with payroll vendors and Finance Shared Services teams to guarantee timely payroll delivery as well as correct allocation of costs across departments.
  • Oversee administration of employee benefits programmes including medical coverage, flexible benefits schemes, insurance policies, and vendor payments to ensure smooth service delivery.
  • Assist with annual tax filings and support both internal and external audits by providing required payroll documentation in a timely manner.
  • Generate regular reports on payroll activities and HR operations for management review while identifying opportunities for process optimisation within the shared services function.

What you bring:

To excel as a Payroll Executive and Human Resources Operations professional within this renowned organisation, you will bring proven expertise in managing complex HR processes coupled with deep familiarity around Malaysian payroll legislation.

  • Bachelor’s degree in Human Resources Management, Business Administration or a related discipline is required for this position.
  • A minimum of three to five years’ experience in HR operations and payroll management within Malaysia is essential for success in this role.
  • Exposure to payroll processes or HR operations in other Southeast Asian markets would be considered highly advantageous.
  • Comprehensive knowledge of statutory payroll compliance requirements as well as government reporting standards is necessary.
  • Hands-on experience working with HRIS platforms (with preference given to those familiar with SuccessFactors) alongside established payroll systems is expected.
  • Exceptional attention to detail combined with strong organisational abilities ensures accuracy across all tasks undertaken.
  • Excellent communication skills paired with effective interpersonal abilities enable you to collaborate seamlessly across diverse teams.
  • Demonstrated ability to maintain confidentiality when handling sensitive data is crucial for this role.
  • Proficiency in additional Southeast Asian languages would be regarded as an asset but is not mandatory.
