As an Operations Executive for General Practice Clinics based in Petaling Jaya, you will play a central role in orchestrating the daily activities that keep each clinic running efficiently.   • Support the day-to-day running of clinics by overseeing system usage, managing cash collection processes, handling third-party administrator submissions, and ensuring strict compliance with standard operating procedures.
  • Provide ongoing training to doctors and clinic staff, coordinate roster arrangements, manage leave schedules, and address manpower requirements to maintain optimal staffing levels.
  • Assist with stock monitoring by verifying inventory levels, reconciling discrepancies, and collaborating closely with IT and Procurement teams to ensure accurate supply chain management.
  • Troubleshoot operational, technical, and system-related issues as they arise, escalating complex matters to the appropriate manager or department for swift resolution.
  • Act as a vital communication bridge between headquarters and individual clinics, ensuring alignment with organisational standards and facilitating clear information flow.
  • Monitor staff performance regularly to uphold service quality standards while identifying areas for improvement through constructive feedback and support.
  • Oversee the implementation of new systems or processes within clinics, guiding teams through transitions smoothly while minimising disruptions to patient care.
  • Ensure full compliance with regulatory requirements including Ministry of Health guidelines, licensing obligations, equipment standards, and corporate policies across all sites.
  • Proactively identify operational gaps or inefficiencies within clinic workflows and develop timely solutions that enhance overall productivity.

What you bring:

To excel as an Operations Executive for General Practice Clinics, you will bring proven expertise gained from several years managing complex healthcare operations or similar environments. Your educational background equips you with strategic insight into business administration or healthcare management principles. You are adept at navigating digital clinic management platforms and have hands-on experience dealing with TPA processes as well as regulatory compliance matters. Your interpersonal skills shine when training others or resolving conflicts sensitively.   • A minimum of five years’ experience in medical operation management, chain business management, store operation management or other relevant operational roles within the healthcare sector is required for success in this position.
  • A Diploma or Degree in Healthcare Management, Business Administration or a related field provides the foundational knowledge necessary for this multifaceted role.
  • Proficiency in using clinic management systems (such as CMS) is essential for effective oversight of daily operations and reporting functions.
  • Familiarity with third-party administrator processes including contrabilling and claim submissions—will enable you to handle financial transactions accurately and efficiently.
  • A solid understanding of regulatory compliance requirements (including Ministry of Health guidelines, licensing protocols, and equipment standards) ensures that all clinics operate within legal frameworks.
  • Experience in inventory management allows you to monitor stock levels effectively while collaborating with procurement teams on supply chain matters.
  • Excellent communication skills.
